If you have any questions about this policy or how we use your personal data, email hello@missionworks.uk and put "Personal Data Query" in the subject line.
This policy explains how we collect and use personal data when you visit missionworks.uk, contact us, book a viewing, buy a Day Pass, book a room or become a member. It is written to meet the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR), as amended by the Data (Use and Access) Act 2025.
2. The personal data we collect
Information you give us:
If you leave a comment, we keep your name, comment and (if you give it) your email address. Your name and comment are shown publicly once approved. You can ask us to remove a comment at any time by emailing hello@missionworks.uk.
- Your name, email address and phone number.
- Your company name and team size, if you tell us.
- What you're interested in, your preferred day and time for a viewing, and anything you write in a message.
- Booking and membership details, such as the plan or room you choose, dates and times.
- Billing details, such as your billing address and company details. Card payments are handled by our booking system's payment provider. We do not see or store your full card number.
- Your marketing preferences.
Information we collect when you use our website:
- Pages you visit, how you arrived on our site, and which buttons and links you click.
- Technical details such as your browser, device type and approximate location based on your IP address.
We collect this through optional analytics or advertising tools only if you agree to the relevant category (see section 8). Advertising tools may also use cookie identifiers to measure enquiries, improve campaigns and personalise ads. We do not send your form contact details as advertising matching identifiers.
Information we collect when you use the building as a member or visitor:
- Records of building access through the member app, and bookings you make.
3. How we use your personal data and our lawful basis
We only use your personal data when the law allows us to. For each purpose, our lawful basis is shown in brackets.
- To reply to your enquiry, arrange a viewing and answer your questions (legitimate interests: responding to people who contact us, or taking steps at your request before entering into a contract).
- To take bookings, sell Day Passes and memberships, give you access to the building and manage your account (contract).
- To take payments, keep accounts and meet our tax and legal obligations (contract and legal obligation).
- To send you news, offers and event information by email, if you have ticked the box to receive them (consent). You can unsubscribe at any time using the link in any email or by emailing us.
- To understand how our website is used and improve it, using analytics cookies (consent).
- To measure advertising effectiveness, optimise advertising campaigns and personalise ads through Google Ads and LinkedIn Insight Tag, if enabled in Google Tag Manager and you agree to advertising cookies (consent).
- To keep our building, members and website safe and secure, and to prevent fraud (legitimate interests).
Where we rely on legitimate interests, we have considered your rights and only use your data in ways you would reasonably expect.
4. Who we share your personal data with
We do not sell your personal data. We share it only with trusted service providers who act on our instructions, under contracts that require them to keep it secure:
- HubSpot: our customer relationship and email tool. It stores enquiries submitted through our website forms and, if you agree to analytics cookies, records how you use our website. Our HubSpot account is hosted in its European data centre.
- Nexudus: our booking, membership and building access system. It handles Day Pass and room bookings, memberships, invoices and the member app, and passes card payments to its payment provider.
- Our website hosting provider, which serves the website to you.
- Lovable Cloud: our website database provider, which stores journal comments and supports secure moderator sign-in.
- Matterport, which provides the 3D tour of the building.
- Google, which provides our viewing calendar and, with your analytics consent, Google Analytics through Google Tag Manager. With separate advertising consent, Google Ads may receive page, device, cookie and successful-enquiry signals for advertising measurement, campaign optimisation and personalised ads when its tags are enabled.
- LinkedIn, whose Insight Tag may receive page, referrer, device, IP address and cookie information for advertising measurement, campaign optimisation and personalised ads when enabled and you have given advertising consent.
- Other companies in the Lamington Group, where needed to run Missionworks.
- Our professional advisers, such as accountants and lawyers.
- The police, regulators or other authorities, where the law requires it.
If we sell or buy any business or assets, we may share personal data with the buyer or seller of that business.
5. International transfers
Some of our service providers, or companies that support them, are based outside the UK. When your personal data is transferred outside the UK, we make sure it is protected, for example by transferring it only to countries the UK government has approved as having adequate protection, or by using the UK's International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Contact us if you would like more information.
6. How long we keep your personal data
- Enquiries and viewing requests: we delete your information if we have had no meaningful contact with you for seven years. Meaningful contact includes sending an enquiry or making a booking with us.
- Members, bookings and payments: we keep records for as long as you are a member and then for as long as we need to meet our legal, tax and accounting obligations.
- Marketing: until you unsubscribe or ask us to stop, after which we keep a record so that we do not contact you again.
7. Keeping your data secure
We use appropriate technical and organisational measures to protect your personal data, and our service providers must do the same. No method of sending information over the internet is completely secure, so please take care when sending us personal information.
8. Cookies
Cookies are small files stored on your device when you visit a website.
- Essential cookies make the website work, for example remembering your cookie choice. These do not need your consent.
- Analytics cookies, set by HubSpot and Google Analytics tags managed through Google Tag Manager, help us understand website use. They are permitted only when you choose Accept all or turn Analytics on and save your preferences. Analytics consent does not grant advertising consent.
- Advertising cookies: Google Ads and LinkedIn Insight Tag, when enabled through Google Tag Manager, measure advertising effectiveness and enquiries, support campaign optimisation and personalise ads. They are permitted only when you choose Accept all or turn Advertising on and save your preferences. Advertising consent does not grant analytics consent.
Both optional categories are off by default. Essential only rejects both. We store your choices on your device with a visitor reference, date and the notice and options shown. Later changes keep the earlier acceptance record. Google Tag Manager loads only when at least one category is accepted; individual tags must respect the corresponding choice.
You can change your choice at any time using the link at the bottom of every page. You can also block or delete cookies in your browser settings.
To withdraw, turn either category off and save your preferences. We immediately update Google's consent signals and reload the page to stop previously loaded tracking, including in other open tabs. We do not resend actions that happened while the relevant consent was off. Third-party cookies may also need removing through your browser settings.
Booking, membership and payment pages on our booking system (Nexudus) and the 3D tour (Matterport) are provided by those companies and may use their own cookies. Please read their privacy and cookie policies.
9. Your rights
Under UK data protection law you have the right to:
- be told how we use your personal data (this policy);
- ask for a copy of the personal data we hold about you;
- ask us to correct personal data that is wrong or incomplete;
- ask us to delete your personal data;
- ask us to restrict how we use your personal data;
- object to us using your personal data, including for direct marketing, which we will always stop;
- ask for personal data you gave us to be sent to you or another organisation in a commonly used format;
- withdraw your consent at any time, where we rely on consent. This does not affect anything we did before you withdrew it.
To use any of these rights, email hello@missionworks.uk with "Personal Data Query" in the subject line. You do not usually have to pay. We will reply within one month. If your request is complex or you make several requests, we may need up to two more months, and we will tell you if so. We may ask you to confirm your identity before we act on your request.
10. Complaints
If you are unhappy with how we have used your personal data, please contact us first at hello@missionworks.uk with "Personal Data Query" in the subject line, so we can try to put it right. We will acknowledge your complaint within 30 days and let you know the outcome.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.
11. Links to other websites
Our website links to other websites, such as our booking system, social media and articles we recommend. Those websites have their own privacy policies, and we are not responsible for them.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
